Every plan is PHIPA compliant: row-level isolation per practice, the audit log, and data held in the Canada (Central) region. Those are not features to be sold — they are what handling health records requires. optobud is built by engineers alongside optometrists.

  1. 1Free, from an electronic export of the system you use today. A practice whose records we move in subscribes for at least its first six months, then month to month; leaving earlier means paying out the rest of the six months. Paper charts are quoted before you sign.
  2. 2No cancellation fee. Your plan runs to the end of the period you have paid for, and your records are handed to your next EHR at no cost.
  3. 3Checked with the ministry’s own service, whose conformance testing optobud passed in October 2026, under your practice’s own GO Secure login.
  4. 4Sent through the ministry’s MC EDT service, whose conformance testing optobud passed in October 2026, under your practice’s own GO Secure login. There is no fee per claim.
  5. 5Live today: the iCare (CenterVue) DRS and DRSplus retinal cameras. More instruments join this list as each is confirmed working at a practice.
  6. 6Emails, texts and faxes are counted from the day your plan renews to the next. Nothing is billed over the allowance: sending pauses until the plan renews.

Before you sign up

Is there a charge per patient record?
No. The price is per practice, per month, whether the chart list holds two hundred patients or twenty thousand.
Which plan includes the exam?
Complete. The full exam — pretest to diagnosis, prescriptions, signing, attachments and referral letters written from it — is on Complete, for every doctor the practice has. Starter and Essentials are the front desk, the dispensary and the invoice, for an optical store or a practice that charts in another system: a glasses or contact lens order takes the Rx typed in, with the doctor who wrote it.
What happens to our exams if we move to a smaller plan?
They stay on the chart exactly as they were written, and anyone who could read them still can, and print them. A practice is the custodian of its patients’ records under PHIPA, so moving to a plan without the exam stops new exams being written — never access to the old ones.
Can you bring our records over from our current system?
Yes, at no cost, on every plan. Send us an electronic export from the system you use today and we move your patients and their records into optobud for you. A practice whose records we move in subscribes for at least its first six months, then month to month; leaving before then means paying out the rest of the six months. Paper charts are quoted before you sign.
Is there a discount for a new practice?
Yes. A practice starting from scratch, with no records to bring over from another system, takes 20% off its first twelve months on any plan. Ask us for a new-practice code before you subscribe and enter it at checkout. Joining through another practice’s referral link? Tell us, and we add it to your subscription instead.
Which plan includes OHIP billing?
Complete, where the exam is: a claim is built from the exam. OHIP claims, each batch sent to the ministry on its cut-off, and the remittance advice collected back all come with it, for as many optometrists as the practice has, each billing under their own number. There is no fee per claim. Health card validation is on every plan.
What do the monthly emails, texts and faxes cover?
Every email and text optobud sends to your patients counts toward your plan’s monthly allowance, and each outbound referral fax counts once — resending one to a corrected number does not count again. On every plan, that is receipts emailed from an invoice, recall emails, and appointment reminders by email and, once text messages are switched on for your practice, by text; on the Essentials and Complete plans, birthday and benefits-expiring emails to the patients who opted in; on the Complete plan, the patient surveys emailed after a visit; on the Complete plan, the patient forms emailed before one; emails and texts from marketing campaigns, on the Essentials and Complete plans; and outbound referral faxes from the chart, on the Complete plan. The count runs from the day your plan renews to the next — the 16th to the 16th for a practice that subscribed on a 16th — and starts again each time it renews. Settings → Subscription shows what is left, and so does Messages, along with how many emails and texts a rule or campaign would use before it sends and a log of everything sent.
What happens when we reach the allowance?
Nothing is charged. Sending pauses until your plan renews: the morning’s automatic messages go in order — appointment reminders first, then patient forms, then recalls, then benefits and birthday emails, and patient surveys last — and the rest wait; a campaign that would go over says so before it sends; a receipt can still be printed, and a referral letter can still be printed and faxed by hand. If your practice needs more, get in touch.
Who counts as an optometrist?
Every active account with the Optometrist role — the doctors patients book with and, on Complete, the ones who write exams and bill OHIP under their own number. A plan takes one on Starter, up to 2 on Essentials and as many as you have on Complete. Optometrists are part of the plan’s staff accounts; administrators, front desk, opticians, technicians and the accountant count toward staff accounts only.
Does an accountant login use a staff account?
Yes — it counts as one of the plan’s staff accounts. The accountant role, and the bookkeeping it works in, come with the Essentials and Complete plans.
Can you build a feature we need?
Yes. We build custom features for practices and price them on request — reach out and tell us what you need.
What happens if we stop paying?
Your records stay readable. A practice is the custodian of its patients’ charts under PHIPA, and a lapsed card is not a reason to withhold them — you lose the ability to write new ones, not to read the old.
Can we take our records with us?
Yes. There is no cancellation fee, and if you move to another EHR, we transfer your practice’s records to it at no cost to you. The charts are the practice’s — optobud keeps them for you, and leaving should never mean paying to get them back.
Can we change plan later?
Yes. An administrator changes plan from Settings → Subscription, through Stripe’s billing portal, and the new plan’s sections switch on as soon as Stripe confirms the change.
Where is our data held?
In the Canada (Central) region, and only there. Payment is handled by Stripe, which never receives anything about a patient, and error reports are cut down to a short allowlist with no patient data before they leave Canada. Outbound referral faxes go through SRFax, which keeps them in Canada. A marketing text is carried by Twilio in the United States, so it holds only the practice’s offer and the patient’s first name, never anything about their care. An appointment reminder’s text goes the same way, so it says only the practice’s name and the appointment’s date and time — never the doctor, the reason or the patient’s name — and texts go only once text messages are switched on for your practice.
